The short answer: if you only need messages taken politely, a good human answering service does that. If you need every call answered instantly, qualified against your criteria, and booked onto your calendar at 2am in English or Spanish, that is what AI reception was built for. Plenty of firms run both: humans in the office by day, AI for nights and overflow.
The comparison
| Voicemail | Human answering service | AI receptionist | |
|---|---|---|---|
| Coverage | Always on, rarely used | 24/7 if you pay for it | 24/7 by default |
| Who answers | Nobody | Shared operators, hold times at peak | Your configured agent, instantly |
| Qualification | None | Usually a message, sometimes a basic script | Your criteria, asked the same way every time |
| Booking | None | Rarely; usually a callback promise | On your calendar, on the call |
| Spanish | Only if you record one | Sometimes, often at extra cost | English and Spanish |
| Record of the call | One compressed mumble | A message summary | Full transcript plus lead summary |
| Cost structure | Free | Typically per minute or per call | Varies by vendor; ours is flat setup plus flat monthly |
| Failure mode | Caller hangs up | Hold music, generic script | Bad configuration; demands review before launch |
The AI column describes how we build ours. Vendors vary, which is rather the point of the questions below.
When a human service is the right call
Honesty first: there are firms for which a good human answering service is the correct choice. If your practice leans heavily on grief or trauma calls and you want human warmth on the line at any price, buy that. If your call volume is a handful a week and your intake criteria are not written down yet, an operator taking careful messages may be all the structure you can use today.
And if your callers are overwhelmingly referrals who already know you, voicemail plus discipline about same-day callbacks can limp along longer than vendors like us would admit.
Where AI changed the math
What AI reception removed is the tradeoff between coverage and quality. The agent answers on the first ring at 3pm and at 3am, never puts anyone on hold, asks the questions your attorneys wrote in the order they wrote them, books the consultation while the caller is still motivated, and hands you a transcript instead of a paraphrase. The meter does not run per minute, so a busy month is good news again.
The honest tradeoff is that it is software. A badly configured agent is worse than a good human, in the way a badly hired human is worse than good software. The controls that matter: you approve the script before launch, and you read transcripts after. Insist on both from any vendor, including us.
Eight questions to ask any vendor
Human or AI, these questions separate coverage from theater:
- ✓ Who or what answers at 3am, and after how many rings?
- ✓ Exactly what will you ask my callers? Show me the script.
- ✓ Can you book directly onto my calendar, or do you promise callbacks?
- ✓ What do I receive after each call, and how fast?
- ✓ How do you handle Spanish speaking callers?
- ✓ What is your policy for adjusters and solicitors?
- ✓ What does a busy month cost versus a quiet one?
- ✓ How are recording and consent handled for my state?
How we answer those
Wide Awake AI builds the agent on your script and criteria, which you approve word for word before launch. It books your calendar directly, answers in English and Spanish, takes adjuster messages without volunteering a word, and sends a transcript and lead summary after every call with a daily digest on top. Pricing is a flat setup fee plus flat monthly management, quoted plainly in a walkthrough. And the demo line below means you never have to take our word for any of it.
Common questions
Do law firm callers accept talking to AI?
Some callers prefer a human, and a well built agent says what it is and helps anyway. What loses callers reliably is silence and voicemail. Judge it by booked consultations, and by calling the demo yourself.
Can we keep our receptionist and add AI?
Yes. The most common setup is staff by day, AI for after hours and overflow. You choose the split and can change it anytime.
Is it legal to use AI and record calls?
Recording consent rules vary by state. The agent's greeting and disclosures are configured to your state's rules before launch.
