The PI caller is different
Most legal consumers deliberate. The PI caller does not. They are hurt, rattled, often still in the parking lot or the passenger seat, and they are working down a search results page. They will talk to the first firm that answers and sounds like it knows what to do, and that conversation usually decides where the case goes.
This is why PI intake is not a paperwork function. It is the competitive front line of the practice. A firm can outspend everyone in town on marketing and still lose the caller in the four rings between the ad and the voicemail greeting.
What PI intake has to capture
A message pad does not qualify a PI case. On the first call, intake should collect:
- ✓ What happened, where, and the exact date
- ✓ Injuries, and what treatment has happened so far
- ✓ The other parties involved, for the conflict check
- ✓ Insurance on both sides, as far as the caller knows it
- ✓ Whether police responded and a report exists
- ✓ Photos, witnesses, and anything already in writing
- ✓ Whether another attorney is already involved
- ✓ How they found you
Dates deserve special care. Filing deadlines vary by state and by claim type, so intake should capture when things happened precisely and flag anything that sounds close, without ever offering an opinion on the deadline itself. That opinion belongs to the attorney at the consultation.
The adjuster problem
Insurance adjusters call early, sound friendly, and are very good at their jobs. A helpful receptionist who confirms a detail or two can hand the other side leverage before the firm has even signed the client.
Intake needs a hard rule for these calls: take the name, company, claim number, and message, and volunteer nothing. Our agents are built with exactly that rule. The adjuster gets courtesy; the case gets silence.
Spanish speaking callers are not an edge case
In many PI markets, a meaningful share of injured callers are more comfortable in Spanish. A firm whose phone coverage cannot hold that conversation is quietly referring those cases to whichever competitor can. Wide Awake AI answers in English and Spanish as standard, with the same qualification questions in both.
Nights and weekends decide PI
Crashes cluster around commutes, weekends, and holidays. The gap between "it happened" and "office opens Monday at nine" is where PI cases change hands. Answering that window is a solvable problem, and the options are laid out plainly in our after hours answering guide. If you want the cost of the gap in your own numbers, the missed call calculator will show you.
How Wide Awake AI runs PI intake
We train an agent on your firm: your qualification criteria, your calendar, your practice mix. It answers instantly at any hour, walks the caller through the questions above, books the consultation on the spot, and sends you the transcript and a lead summary before you are back at your desk. Existing clients get routed, solicitors get screened, adjusters get the message-only treatment.
The public demo is literally a PI scenario. Call the line below and pretend you were just in an accident. What you hear is what your callers would get.
Questions PI firms ask
Can the agent apply our signing criteria?
Yes. It asks your qualification questions, in your order, and you approve the script before it takes a single call. If your criteria change, the script changes.
What if the caller already has a lawyer?
Prior representation is a standard qualification question. The agent asks and routes the call according to your rules.
How does it treat insurance adjusters?
It takes the adjuster's name, company, claim number, and message, and volunteers nothing about the client or the case. That is a hard rule, not a tendency.
What lands in our inbox after each call?
A full transcript, a lead summary with the qualification answers, and the caller's details, plus a daily digest of everything the agent handled.
